Time Off Calculator: Remaining PTO & Leave Balance

This calculator subtracts the amount of paid time off you’re requesting from your current balance, so you can see exactly how many hours or days you’ll have left before you submit the request.

What the Time Off Calculator Does

This calculator covers PTO balance tracking, vacation time remaining, sick leave balances, and general time-off math for employees planning a request. Whether your employer tracks time off in hours or days, the same subtraction logic applies: start with your current balance, subtract the time you’re requesting, and see what’s left.

This is useful before submitting a formal PTO request, when comparing multiple possible vacation dates against your remaining balance, or when double-checking a pay stub’s leave balance against your own math.

How the Remaining Balance Is Calculated

Formula

Remaining Balance = Current Balance − Requested Time

Where:

  • Current Balance = the PTO, vacation, or sick time you currently have available
  • Requested Time = the amount you plan to use, in the same unit (hours or days) as your balance

The result never goes below zero, since a balance can’t be negative — if your requested time exceeds your balance, the calculator shows 0 remaining rather than a negative number, signaling the request exceeds what’s available.

Worked Example

You currently have 64 hours of PTO and want to request 24 hours for a long weekend trip.

Remaining Balance = 64 − 24 = 40 hours

After the request is approved and used, you’d have 40 hours of PTO left for the rest of the year.

Tracking Balances Across Multiple Requests

If you’re planning several time-off requests throughout the year, run this calculation for each request in sequence, using the previous result as the new current balance, to see how your balance shrinks over time and whether you’re on pace to use it all before it expires or resets.

Frequently Asked Questions

Does this account for PTO that accrues over time?

No — this calculator works from a fixed current balance you enter. If your PTO accrues per pay period, add expected future accrual manually before subtracting a planned request, since accrual policies vary widely by employer.

Can I use this for both hours and days?

Yes, as long as you enter both your current balance and requested time in the same unit. Mixing hours and days will produce an inaccurate result.

What does it mean if my remaining balance shows zero?

A result of zero means your requested time meets or exceeds your current balance. Check with your employer about unpaid leave options or adjusting the request if you don’t have enough PTO banked.

Does unused PTO always roll over?

Rollover policies vary by employer and by state law, and some plans cap how much can carry into the next year or require it to be used by a certain date. Check your employer’s specific policy rather than assuming automatic rollover.

How do I convert a days-based balance to hours, or vice versa?

Multiply a days balance by your standard daily work hours (commonly 8) to get an hours balance, or divide an hours balance by that same number to get days. Convert before entering your numbers so both the balance and the request use one consistent unit.
